This document details the steps required to export data from the SoftRight Payroll module and import employee information into either the ComplyRight or Springbrook Affordable Care Act solutions. SoftRight is available to assist you with importing the employee names and addresses for part 1 into the ComplyRight or Springbrook software. Affordable Care Act Export of Employee Names from SoftRight to ComplyRight
1. From the Payroll Report Menu select Affordable Care Act ComplyRight Export of Names.
2. Make sure the Year is set for the correct calendar year and the Blank SS# is unchecked and click PREVIEW. The report will ask you for a folder location for where to create the export. Once the export is created it will display a list of names included in the export. You do not need to print this list. It is for informational purposes only.
3. Open the file y151095c.xls in excel from the location you specified in step 2. Then select SAVE AS from the file menu to save it in the current workbook format.
4. Run the Affordable Care Act for 2015 software by ComplyRight. Go to the Companies and Employees menu at the top and select Manage Companies and Employees.
5. If this is the first time you are running the software you have to setup your “company”. Press the “Add New Company” button and enter the required information and Press SAVE.
6. Select your “Company” in the drop down list box and press the “Import Employees” Button.
7. Make sure the format is the Spreadsheet (Excel) and the import Template is 1095-C and you enter the number of records to import. Press the Import Button. Press the ADD Button. Then the system will ask for the location of the file you exported from SoftRight. Go to the folder where you saved the excel file and remember to get the current version you saved as an excel workbook in step 3. For most users, the filename will be “y151095c.xlsx”.
8. Once the spreadsheet has been uploaded, you can press the close button. You should see a list of names in the window. Press the Start Filing button. A small menu will appear and select 1095C.
9. Once this form is up, you must re-select your company again from the top left drop down list box.
10. The import of names is now complete.
Affordable Care Act Export of Employee Names from SoftRight to Springbrook
1. From the Payroll Report Menu select Affordable Care Act Springbrook Export of Names.
2. Make sure the Year is set for the correct calendar year and the Blank SS# is unchecked and click PREVIEW. The report will ask you for a folder location that will be used to store 3 export files. Once the exports are created, there will be one file populated with employee names and addresses and two blank files for coverage and dependents. You will need to populate these files with the proper information. Once populated, they will be in the right format to import into the Springbrook Affordable Care Act solution.
3. Login into Springbrook Software. If you do not have login credentials, you need to request a database from Springbrook. Please note that this may take a few days to get setup.
4. From within the Springbrook software, select the new batch option in the drop down list box located in the top left corner of the screen. Then, press the generate button.
5. Press the import option on the left and populate the 3 files from the files you exported out of SoftRight.
6. Press the OK Button. After a short time, a message will appear if the import was successful or not.
